WHAT INFORMATION DO WE COLLECT AND HOW DO WE USE IT?

When AAS collect, use, store and manage personal data the new GDPR requires us to tell the individuals what AAS are going to do with the information. What AAS must tell members depends on whether it obtained the personal data direct from the members. Information AAS supplies about the processing must be; Concise, transparent, intelligible and easily accessible. Written in clear and plain language and free of charge.:
2. EMAIL ADDRESS
2.1. When the Data Subject send an email enquiry. We will use the data subject email address to communicate important information about membership, payments, classes and events at Avoncroft Arts Society.
2.2. If the data subject has chosen to be on our mailing list, we send the data subject our newsletter, and information from AAS about classes/events that we consider to be relevant to the data subject. At the end of AAS newsletters or offers, we always provide you with the opportunity to remove yourself from our mailing list. You may also opt in or out of either form of mailing by emailing [email protected]
2.3. If the data subject chooses to become a member of AAS, you are agreeing to disclose your email address to the administrator of the site. Through AAS, a site administrator can choose to mail individual members, groups of members or the entire membership of the site. When you join, you can choose to not be part of the mailing list. You can at any time choose to remove yourself from the mailing list of a site by using the unsubscribe function at the end of every email sent.

3.1. If you choose to subscribe to membership of AAS, we ask you some additional personal questions such as your address post code and Telephone number.

We use the Personal Data we collect from you to:
4.1. To administer AAS Membership Records
4.2. To deal with your inquiries and requests;
4.3. allow you to participate in any features on the Site, where you choose to do so;
4.4. send you relevant communications, including announcements and administrative messages;
4.5. send you newsletters and information about classes and events.
5.6. understand how our members use our services so that we can continuously improve the Site and the services we offer.

We do not intentionally collect or process any sensitive personal information about you and by law we may only process any such sensitive personal data under strict conditions.

Avoncroft Arts Society complies with its obligations under the GDPR by keeping Personal Data up-to-date; by storing and destroying it securely; by not collecting or retaining excessive amounts of data; by protecting personal data from loss, misuse, unauthorised access and disclosure and by ensuring that appropriate technical measures are in place to protect personal data.
Personal Data will be:
•Processed lawfully, fairly and transparently.
•Only be used for a specific processing purpose that the data subject (AAS Member) has been made aware of and no other, without further consent.
•Only the minimum amount of data will be kept for specific processing
•Data must be accurate and kept up-to-date.
•Data will not be stored for longer than necessary, and storage will be safe and secure
8. HOW WE PROTECT YOUR PERSONAL INFORMATION
We want you to feel confident about using the Site and we are committed to protecting the personal information that we collect. We limit access to personal information about you to administrators who reasonably need access to it to provide products or services to you, or in order to do their jobs. We have appropriate technical and Organisational measures in place to protect the personal information you provide to us against unauthorised or unlawful use and against accidental loss, damage or destruction.
